The Importance of this Role

We are looking for a driven, detail-oriented, and people-first Coordinator to join our People Operations team in Ukraine and play a key cross-functional role across both the US and UA markets. If you thrive in a fast-paced environment and love owning processes, improving operations, and supporting people - we want you on our team.

This high-visibility role touches nearly every part of the company, from office management and events to onboarding, vendor coordination, hiring support, and US-specific operations. You’ll also partner closely with Talent Acquisition (TA), provide onboarding and offboarding support (including for offshore hires), and ensure a smooth, compliant, and culture-rich employee experience.

Your Responsibilities:

⚙️ People Operations/Human Resources Support (UA & US)

  • Own and manage new hire onboarding and employee terminations/offboarding across multiple locations (US, UA, Offshore)
  • Work with the People Operations team to improve people processes (company comms & updates, company engagement, TA support)
  • Own preparation and coordination of monthly All-Company meetings (slides, agenda, follow-up)
  • Keep processes clear, documented, and easy for others to follow

🌎 US & Offshore Hiring Support + Recruiting Coordination

  • Support US hiring managers, contractors, and People Ops with onboarding, documentation, and tool access
  • Be the point of contact for our offshore onboarding processes
  • Coordinate with Talent Acquisition on scheduling, candidate documentation, and new hire setup

💼 Office & Vendor Management:

  • Keep the office area, kitchen, and meeting rooms clean, organized, and well-stocked
  • Track and manage all office supplies and tech equipment
  • Receive and send office deliveries and shipments
  • Work with third-party vendors (cleaning, delivery, maintenance, etc.) - keep track of contacts, contracts, payment timelines
  • Make sure the office stays comfortable, safe, and welcoming for the team

💡 Culture, Events & Engagement:

  • Own planning and coordination of local and global events (team lunches, birthdays, Maticversaries, Company All Hands) and remote experiences (gift boxes, virtual meetups)
  • Make sure Matic stays a welcoming, fun, and inclusive place to work by bringing new ideas to keep people connected and involved - across UA and US teams
  • Order and ship branded gifts and swag for the team worldwide

💸 Finance & Legal Coordination:

  • Track and report all expenses and monthly office budgets
  • Work closely with accountants to prepare and submit documents according to Ukrainian law
  • Ensure DIIA City compliance - manage all requirements, deadlines, and documentation to maintain resident status and support the employee deferral process
  • Submit finance documents, request accesses, and help with monthly reporting

Must-have skills:

  • 2+ years of experience in Human Resources, Talent Acquisition, Office Management, or similar role in a fast-paced team
  • Comfortable working with US teams
  • Able to work flexible hours to support US work hours/schedules
  • English Fluency - verbal and written (Upper-Intermediate or Higher)
  • Experience managing employee Onboarding/Offboarding processes
  • Able to manage multiple vendors, track payments, and keep things organized
  • Experienced in running engagement activities for large, remote teams
  • Strong attention to detail and a love for structure and checklists
  • Self-driven person who takes ownership and doesn’t need micromanagement
  • Great at organizing, prioritizing, and working with different teams
  • Open to feedback and comfortable speaking up and sharing your own
  • Enjoy working independently but also love to collaborate in remote environments
  • Confident with tools like Google Sheets, Confluence, Slack, Canva, Figma, and Jira (or open to learning quickly)
  • Able to manage many requests at once and still deliver high-quality, timely results
